WRLD.vet Rounds · managed IT for veterinary practices

Rounds on every device. Response times in writing.

WRLD.vet Rounds is managed IT for veterinary practices. We watch every enrolled device around the clock, answer in the times we put in writing, and keep one chart, your hospital's technology record, so requests stop routing through your practice manager.

  • Critical 30 min
  • High 1 hr
  • Medium 2 hr
  • Low 24 hr
  • Monday to Friday, 9 to 6 Central

Daily rounds on every enrolled deviceA loop drawn like a clock face. Rounds start at WRLD, pass a workstation, an iPad, a label printer, Wi-Fi and a server, and return to WRLD. Monitoring runs 24/7; people answer in our triage times.

On rounds

What breaks in a clinic, and what we watch

Everything on this list came from inside veterinary hospitals we work with. It is what we check on rounds, and what your chart keeps track of.

  1. What breaks: Front-desk Wi-Fi drops a client's financing application halfway through the form.

What we watch, and what we do: We design coverage for the front desk first, watch every access point, and build in a backup internet path so a carrier outage doesn't close the register.

  2. What breaks: Calls drop or ring out on the clinic phone system.

What we watch, and what we do: We give voice its own lane on the network and watch the switches and access points it depends on. If you want a phone system we support end to end, that's WRLD.Tel.

  3. What breaks: One IT person, two to three hours to fix anything, and no record of what was asked.

What we watch, and what we do: A helpdesk portal, a Help Button on every workstation, triage times in writing, and a three-step escalation path: the helpdesk, then a senior technician, then a managing partner. Nothing routes through you unless you want it to.

  4. What breaks: A shared "hospital" login and, in the clinic's own words, zero security.

What we watch, and what we do: Individual logins for every person through Google Workspace or Microsoft 365, 1Password Business for the team, managed endpoint protection on every computer, and patching that runs without anyone remembering to do it.

  5. What breaks: The prescription-label printer dies and dispensing stops.

What we watch, and what we do: Label printers are inside our printer support. We standardize on network-attached models we can reach remotely, document each one in your chart, and specify a spare.

  6. What breaks: The x-ray or CT vendor needs static IP addresses and network documentation, then is slow to answer.

What we watch, and what we do: Your chart holds the network facts (addresses, segments, ports), so we hand the vendor what they need the day they ask, and we keep their ticket open until the scanner is talking.

  7. What breaks: A practice-management migration goes sideways, and a large checkout crashes the payment flow.

What we watch, and what we do: We keep the cutover notes, keep the old server reachable for the window you choose, help you test a large transaction before go-live, and stay on the vendor's ticket with you.

  8. What breaks: A drawer of legacy tablets next to new iPads, and nobody knows which to standardize on.

What we watch, and what we do: We settle it once: iPads through Apple Business Manager and Hexnode, set up before they leave the box, and a retirement schedule for the rest.

  9. What breaks: A server in the attic with no battery backup and two years of life left.

What we watch, and what we do: Backup and recovery, a battery backup on the standard, and a replacement date set in your quarterly check-up rather than by the server.

  10. What breaks: Going paperless in six months.

What we watch, and what we do: An iPad for every technician, scribe apps installed and updated through device management, and the printers you still need for controlled-substance logs and final documents kept on the standard.

Preferred

Watched, checked and planned.

  • Everything in Enhanced
  • Full guarantees in writing, including Critical in 30 min and High in 1 hr
  • A two-hour planning session every quarter (your technology business review)
  • Backup and recovery included
  • Onboarding mostly or fully waived
  • Our recommendation for hospital groups and new builds
Quote Preferred per device

An enrolled device is any computer, server, Mac or iPad we put our monitoring agent or device management on. We watch network gear under network monitoring and don't count it per device. Cameras, door controllers and desk handsets are scoped with your build or your phone system.

Triage

Triage times (our SLA)

Every ticket gets a priority the moment it lands, the way you triage a waiting room. These are the response times we put in writing.

Response times by priority
PriorityWe respond withinWhat it looks like in a hospital
Critical30 minThe hospital can't treat, dispense or take payment: server, network or practice-management system down.
High1 hrOne station or one person is stopped, with no workaround.
Medium2 hrSomething is slow or broken, and there's a workaround.
Low24 hrQuestions, small requests, how-do-I.

By tier

Essential puts Medium and Low in writing. Enhanced tightens response across every priority. Preferred carries the full guarantees, including Critical in 30 min and High in 1 hr. Your tier's exact times go in your agreement. Need something moved up? A priority boost is available on any ticket, for a fee.

Hours

Monitoring runs 24/7. Our guaranteed response times apply Monday to Friday, 9 to 6 Central. After-hours help is available at after-hours rates. If you run a 24/7 hospital, ask us about extended coverage.

Our clock, not the vendor's

These times are ours. When your imaging or practice-management vendor has to act, we open the ticket with them, hand them the documentation, and stay on it, but we can't sign for their clock.

What the times don't cover

Adds, moves and changes; work outside business hours (billed separately); devices below standard or out of warranty; software that isn't on your standard; buying hardware.

Onboarding

Your first week with us

Onboarding is about three hours on site per location, and most of the rest is paperwork we do for you.

  1. Before day one

You fill in what you know on the chart checklist. We go after the rest with your outgoing IT provider and rebuild access where they can't hand it over, so a poor handover is our job to sort out, not yours.

  2. Day one on site, about three hours

We document every asset, meet the staff, teach the Help Button and the ticket flow, and leave printed quick cards and magnets at every station.

  3. First 48 hours

Our monitoring agent goes on every device. We create individual logins and set up the team's 1Password vaults.

  4. First week

We document your network, add label printers, imaging facts and practice-management details to the chart, and verify backups where they're included.

  5. First quarter

Your first health check (Enhanced) or planning session (Preferred).

The chart checklist

One page, printable, and a locate-and-list sheet rather than a place to write secrets.

Fill it in before day one and your first day is shorter. Passwords move into 1Password on site, never onto paper.

New builds

Building a hospital? Call us at the blueprint.

We join at the drawing stage, supply and configure the network, cameras, access control, displays, phones and workstations, and tune it for 90 days after you open.

  1. Design and blueprint

We put every drop, access point, camera, door and display on the drawings before the walls go up.

  2. Procurement and staging

Weekly purchasing meetings. We buy to the standard, then configure and label everything before it ships.

  3. Rough-in coordination

Your low-voltage contractor pulls and terminates; we coordinate the schedule and inspect the work.

  4. Finish and go-live

Rack, switches, Wi-Fi, cameras, access control, displays, phones, workstations and tablets, lit and tested before the first patient.

  5. 30/60/90 tuning

We live with the building for three months and adjust what the first weeks teach us.

Hospital groups

For hospital groups: one standard, one chart per hospital

Each hospital is its own entity with its own medical director and its own bill. We keep it that way, and give the parent one view over all of it.

A parent entity sees every hospital's chart in one read-only view. Each hospital keeps its own tier, invoice and ticket queue. The next opening inherits the group standard.
  • One bill per hospital, one tier per hospital, one ticket stream per hospital.
  • The parent sees every chart in one view: tier, invoice, open tickets and response times, quarterly review. Reporting is read-only; nobody at the parent has to touch a hospital's chart to see it.
  • We define cross-site roles (a regional medical director, a floating technician) once, and they apply everywhere.
  • One standard for the group: the same approved equipment and software at every hospital, so your fifth opening inherits every decision made for the first four.
  • Need something that isn't on the standard? Ask us before you buy. We evaluate it once and, if it's supportable, every hospital in the group can use it.
  • We recommend a new hospital open on Preferred, so the guarantees are in writing while it finds its feet. You pay for the devices you enroll, and you enroll as you hire.

Talk about your group

Compliance

Straight talk on compliance

Veterinary practices aren't directly governed by HIPAA, and we don't claim HIPAA attestation for ourselves or for you. We build to HIPAA-aligned safeguards anyway, because your clients' records and payment details deserve them: an individual login for every person, a managed password vault, managed endpoint protection and patching on every computer, backups you can restore from, and a network segmented so the front desk, the imaging suite and the guest Wi-Fi don't share a lane. Your controlled-substance records are governed by rules we don't set. Our job is to keep the workstation and the printer that produce them on the standard and working.

Questions

Questions a practice manager asks

We have one person who does our IT now. What changes?

A three-step escalation path (the helpdesk, then a senior technician, then a managing partner) instead of one phone number, a ticket trail for every request, response times in writing, and a Help Button on every workstation so nobody has to find you to find us.

Do you support our practice-management software?

We support everything it runs on: the computers, the network, the logins, the label printers, the server it's leaving. We document the version, the vendor contact and the cutover notes in your chart. We don't fix the vendor's software, but we open the ticket with them, hand them what they need, and stay on it with you.

Our x-ray vendor needs network documentation and is slow to answer. Does that get better?

The documentation gets better immediately: your chart holds the static addresses, segments and ports, and we send them the day the vendor asks. Their response time is theirs; we keep the ticket open and keep calling.

Our label printer failed last month and we couldn't dispense. Is that covered?

Yes. Label printers are inside our printer support. We standardize on network-attached models we can reach remotely, document each one, and specify a spare so a failure is an inconvenience, not a stoppage.

We're a 24/7 hospital. What about nights and weekends?

Monitoring, patching and security run 24/7. Our guaranteed response times apply Monday to Friday, 9 to 6 Central, and after-hours help is available at after-hours rates. Ask us about extended coverage.

We're building a new hospital. When should we call?

At the blueprint. Every drop, access point, camera, door and display is cheaper on paper than in drywall. We run weekly purchasing meetings through construction and stay for 90 days after you open.

We have three hospitals under one parent. How does billing work?

Each hospital gets its own bill, its own tier and its own ticket stream. The parent gets one read-only view across all three. We set up cross-site roles once.

Are you HIPAA compliant?

Veterinary practices aren't directly governed by HIPAA, and we make no HIPAA attestation claims. We build to HIPAA-aligned safeguards, and your agreement spells out the safeguards we commit to.
